Word count guide: essays, blog posts and speeches
A practical guide to word limits, page estimates and speaking time—with worked examples and free counting tools.
A 1,500-word assignment is not necessarily five pages, and a 500-word speech does not take everyone the same time to deliver. Word count measures text length. Page count depends on layout, while speaking time depends on pace and pauses.
Start with the free Certaffy word counter. Paste the exact text you intend to submit to see words, characters, approximate sentences and estimated reading time. The counter calculates these values in your browser; using the separate AI detector is a different operation.
What should you include in a word count?
For an assignment, the brief decides. Check whether headings, quotations, footnotes, tables, captions and references count. A counter cannot know your institution's policy. For a client article, agree whether the headline, summary and image captions belong in the limit.
Keep a full-document total and, when needed, a body-only total. Label them rather than silently removing sections. For example, a report may contain 1,480 body words and 180 words of references. Its body-only count is 1,480; its combined count is 1,660. Neither is automatically the required submission count.
Planning 300, 500, 1,000, 1,500 or 2,000 words
The following is an illustrative planning calculation, not a formatting standard. It assumes 500 words per single-spaced page, 250 per double-spaced page, and a speaking pace of 130 words per minute without extra pauses.
| Draft length | Pages at 500 words/page | Pages at 250 words/page | Speaking time at 130 words/minute |
|---|---|---|---|
| 300 words | 0.6 | 1.2 | 2 min 18 sec |
| 500 words | 1 | 2 | 3 min 51 sec |
| 1,000 words | 2 | 4 | 7 min 42 sec |
| 1,500 words | 3 | 6 | 11 min 32 sec |
| 2,000 words | 4 | 8 | 15 min 23 sec |
Calculate your own estimate with words ÷ words per page or words ÷ speaking pace. Fonts, margins, lists, images and paragraph breaks change the page result. Export the actual document to check its final layout. Rehearse a speech aloud to account for emphasis, audience reactions and slide changes.
For a 1,500-word essay, you might initially budget 150 words for the introduction, 1,150 for the argument and 200 for the conclusion. That is a drafting aid, not a required essay structure. Move words toward the sections that need evidence instead of padding a conclusion to reach its allocation.
Why do word counters disagree?
Tools can handle hyphens, URLs, apostrophes, numbers and footnotes differently. Certaffy's current free counter separates words at whitespace. For example, “evidence-based review” counts as two items, while “evidence based review” counts as three. Its sentence count is punctuation-based, so abbreviations can affect the estimate. Languages that do not normally separate words with spaces need a more suitable counting method.
Use your required submission system as the final authority. If a pasted PDF produces a surprising count, check for duplicated headers, broken lines or missing columns before trusting the number. See our PDF extraction checklist.
Does a longer blog post rank better on Google?
There is no universal SEO word-count target. Google's people-first content guidance explicitly rejects the idea that it has a preferred word count. Answer the reader's question, include useful examples and stop when the explanation is complete. Adding repetitive paragraphs just to reach 2,000 words is not a content strategy.
Common questions
Do spaces count as characters? Some limits include spaces and some do not. Certaffy's word counter displays both character totals. Check the rule for the form, application or platform you are using.
Is reading time the same as speaking time? No. Certaffy's reading estimate uses 220 words per minute and rounds up to whole minutes. The table above uses a separate, explicit speaking assumption.
Does word count reveal whether text is AI-generated? No. Length is not evidence of authorship. An AI-writing check is a separate, fallible assessment—not a property calculated from the word total.
For other length checks, use the character counter, sentence counter or paragraph counter.
